Why double opt-in isn’t counterproductive for your email marketing

“I get more subscribers when I use single opt-in.”

“My emails already have an unsubscribe link, so why do I still need to confirm when someone signs up”?

These are common replies from some email marketers when asked why they forego double opt-in. It’s almost as though they’re happy with what single opt-in offers and don’t want to see what else is out there.

So is double opt-in a risk? Not really! It’s actually a great, long-term way of building a healthy mailing list. Given the current global scenario, it only makes sense to discuss a solution for building long-lasting relationships with your audience. 

Reality check: What is double opt-in?

At its most basic level, it’s going one extra step to ensure that your audience really knows what they’re signing up for. Once someone hits the submit/agree button of the signup form, a verification email with the confirmation link is sent to their inbox. Only after clicking the link do they become eligible to receive your marketing emails.

The so-called “downsides” 

Some feel that double opt-in means:

  1. Frustration for the user, because people want the process to involve as few steps as possible
  2. Fewer sign-ups, as someone who fails to click on the emailed link is a lost contact

However, in reality, these cases are rare.

The benefits of double opt-in

1. Increases email deliverability 

With double opt-in, the chances of invalid email addresses being added to your lists are zero.

Assuming a user makes a typo (guilty as charged!) while entering their email address in your signup form and clicks submit. They’re not going to receive emails from you at all unless they immediately realize their mistake.

In summary: A lead vanishing in a puff of smoke.

Now the (error-strewn) email address remains in your system until it is removed. If it’s not removed, it can hurt your chances of reaching the inboxes of your legitimate audience down the road. How? Emails sent to bad addresses return as a bounce. If these bounces happen too often, the reputation of your email-sending domain takes a hit. As a consequence, Email Service Providers (ESPs) like Gmail, Yahoo, Zoho Mail think you’re a spammer and send your emails to the spam folder.

How does double opt-in solve this problem? Simple! Unless and until someone clicks the confirmation click, their information doesn’t make it to your mailing list.

Note: As an aside, your subscribers clicking the confirmation link sends a positive signal to the ESPs, thus increasing your chances of inbox placement in the future. (This is because they’re showing great interest in your ties by opening and engaging with the confirmation email.)

2. Helps to avoid spam traps

First off, what’s a spam trap? It’s nothing but a trap set by the ESPs to identify spammers. Now let’s see how double opt-in comes into play in two scenarios.

Pure spam trap:

The ESPs deliberately create certain duplicate email accounts and circulate them across web pages. More often than not, spammer-programmed web crawlers (spambots in this context) copy those addresses. Why? They want to create bulk email lists so they can either send spam or sell them in the market.

In some cases, the ESPs blacklist the domains used to send such emails . Therefore, the story ends there.

But if that doesn’t happen, it puts the marketer in the firing line. This is because no one can opt-in using those addresses, so sending emails to them tells ESPs that the sender must either be a spammer or using a purchased list.

Double opt-in doesn’t really enter the picture here. You simply avert the whole problem by saying no to purchasing lists.

Recycled spam trap:

One of the good signs of an email marketer is identifying inactive contacts, segmenting them, and planning a re-engagement strategy. This not only helps you boost your conversion rates, but also helps you avoid hitting the spam traps that exist in the form of inactive IDs.

Inactivity could also mean contacts are no longer using their IDs. Such email accounts can be converted into spam traps based on the inactivity period different ESPs define.

Even though staying away from manual uploading of lists solves this problem, you might feel there are times when you’re forced to resort to this method.

A common example is conducting a trade show and collecting new leads. So how do you prevent collecting dead addresses or addresses that are on the verge of being considered inactive during your next trade show? A QR code is the answer.

Most of today’s sign-up forms can be accessed via QR codes.

If someone scans the QR code of a (double opt-in) signup form, they have to click the confirmation link to become your contact. This means you collect only active email addresses.

3. Keeps you compliant with the law

With email marketing laws like GDPR, CAN-SPAM, and more thoroughly emphasizing the need to obtain consent from your subscribers, double opt-in qualifies as the best possible solution. Needless to say, it also offers protection against spammers who exploit privacy loopholes.

Teachers in India fight against COVID19

Millions of teachers around the world are answering the biggest question of their lives — how to continue teaching amidst the COVID lockdown.

India is home to one of the largest school system in the world with 28% of Indian students falling in the age group of <14 years. That’s a staggering 364 million children in school. Even with a lofty pupil-to-teacher ratio of 32:1 India is host to roughly 11 million teachers.

Today, all these teachers have to continue teaching but there is one big problem. Schools are shut. They do not have a blackboard at home. They can neither go out and buy a board nor order one online right now. Not all teachers are keen to learn at new technologies in a short span and they may not have high-end laptops at home. But they do have smartphones and chalk pieces! Is that enough? We tried to figure with Zoho Classes — a new mobile app to help schools & colleges continue the academic session, by teaching students online.

The following story is a personal experience of working closely with a school and its teachers; and how it changed me and my team.

DAY 1 — TRYING OUT ZOHO CLASSES APP

Teachers of Vidya Mandir Estancia—a CBSE school in Chennai–were introduced to Zoho Classes, a mobile app that helps them send assignments to their students. In a 2-day training course organized by Zoho, they had sent 400+ updates ranging from kindergarten kids assignment to 12th Psychology tests. It got the teachers excited, as it helped them attach contextual images and videos to their tests and assignments—something the regular class room experience did not offer.  Submitted assignments are automatically converted into a PDF that the teachers can download, view, and evaluate.

DAY 2 — LIVE STREAMING: ACADEMIC YEAR 2021 KICK START

On April 2, the principal had officially kick started the academic year 2021 via a live streaming session. Maheshwari Natarajan is a towering personality who has been running the school as the principal for several years. Retiring this May, after 30 years of teaching, she might not get the chance to address her beloved children in person again. For her, Zoho Classes live streaming was a godsend. Steering the school amidst such a monumental moment and enabling the entire staff for online teaching within days, would be the most perfect way to sign off her career in her own style. For cricket fans in India, it’s like hitting a triple century in your last match.

DAY 3 — CREATING VIDEO COURSES

The next day the principal designate (current Vice Principal) Sankari Mam, took the mantle and encouraged the teachers to prepare video courses. She took the lead with a 30-min physics teaching and uploaded the it as a course. The teachers started creating video courses and in just one day they produced more than 50+ video courses using whatever they could manage at home. Some created makeshift black boards with chart papers, some used paper and pen, some got help from their kids. They put their hearts out and tried every single thing they could do. Most importantly it was a Sunday and the courses were getting uploaded way beyond mid-night. The last one came in at around 2.30 am on Monday morning.

Day 27 — BEFORE CLOSING FOR HOLIDAYS

Today, Vidya Mandir Estancia has successfully on boarded 30 classes, 81 teachers, 850+ students and teachers have sent more than 1600 updates to students, distributed 150+ courses and received more than 700 assignments – digitally. The response from parents and PTA association have been very positive as kids enjoyed seeing their favourite teachers on mobile app. The efforts of these teachers are commendable. The 12th standard psychology teacher was far away in Shillong, but her courses reached the students on time. One of the teachers uploaded a video that had animations on par with any online course, courtesy her son. Complex subjects such as accountancy were handled with whiteboards and markers. Hi-definition, professionally shot course video from Kavitha mam of 8th standard took the quality to next level, courtesy iPhone 11.  But the best of all tools came from Baskar Sir – a wooden wardrobe! When Baskar Sir was asked to create a video he called up the Vice Principal and explained the situation at home. The only writable tool at home was a large, brown wardrobe. Once he got the go ahead, he never looked back. He created the course on Halo Alkanes and uploaded it on the app. Kudos, Bhaskar Sir.

THESE TEACHERS  ARE MY INSPIRATION TO WALK THE COVID DARKNESS 

COVID brought in a lot of uncertainties, fear and mental trauma. We all need a ray of light to lead us through this darkness. I think I found my light from these teachers. These bi-focal lens wearing, retirement aged teachers are my heros. Irrespective of whatever be your profession, this story should inspire you to stop looking at the negatives and just do you duty sincerely. It changed me and the entire Zoho Classes team. We clapped for health workers. Likewise, I  think we should also thank our selfless teachers at this moment. Sharing a video we made to mark our respect to all teachers. 🙏🏼.   • We provide a strong set of host controls such as the ability to admit or deny entry to a meeting, and mute or remove participants, if needed.
  • We do not allow anonymous users (i.e., without a Google Account) to join meetings created by individual accounts.
  • Meet meeting codes are complex by default and therefore resilient to brute-force “guessing.”
  • Meet video meetings are encrypted in transit, and all recordings stored in Google Drive are encrypted in transit and at rest.
  • We don’t require plugins to use Meet on the web. It works entirely in Chrome and other modern browsers, so it’s less vulnerable to security threats.
  • On mobile, we have dedicated Google Meet apps in the Apple App Store and Google Play Store.
  • Meet users can enroll their account in Google’s Advanced Protection Program—our strongest protections available against phishing and account hijacking.
  • Google Cloud undergoes regular rigorous security and privacy audits for all its services. Our global compliance certifications can help support regulatory requirements such as GDPR and HIPAA, as well as COPPA and FERPA for education.
  • Your Meet data is not used for advertising, and we don’t sell your data to third parties.

Free Google Meet accounts for individuals

You can use Meet to schedule, join or start secure video meetings with anyone—for a virtual yoga class, weekly book club, neighborhood meeting, or happy hour with friends. Until now, Meet has only been available as part of G Suite, our collaboration and productivity solution for businesses, organizations and schools. Going forward, Meet will be available to anyone for free on the web at meet.google.com and via mobile apps for iOS or Android. And if you use Gmail or Google Calendar, you’ll be able to easily start or join from there, too.

Use your existing Google Account to start a secure meeting in Google Meet

If you have an existing Google Account (for example, if you’re a @gmail.com user), sign in at meet.google.com to get started. If you don’t have a free Google Account, it only takes a minute to create one using your work or personal email address of choice (we require this step as a security measure, and you’ll only need to do this once).

Meetings are limited to 60 minutes for the free product, though we won’t enforce this time limit until after Sept. 30. Creating a trusted meeting space is important, and being mindful when sharing meeting links in public forums can help create a safe experience for all attendees. Google Meet for groups and teams

Groups within an organization can also use Meet to create video meetings that help coworkers connect one-on-one, collaborate as a team, and more. For organizations that aren’t already G Suite customers, today we’re announcing G Suite Essentials. G Suite Essentials is perfect for teams that need access to Meet’s more advanced features, such as dial-in phone numbers, larger meetings, and meeting recording. G Suite Essentials also includes Google Drive for easy and secure access to all of a team’s content, and Docs, Sheets and Slides for content creation and real-time collaboration.
